Step 1 - Set Clear Goals to Work in Sprints

Using the 12 Week Hustle, based on the 12 Week Year I set out my one big goal for the next 90 days and work on it each week. I schedule time every day to work on my 12 Week Hustle goal that I have broken down into actionable tasks.

I then use the GTD (Getting Things Done) to organize and prioritize my day-to-day business tasks. Tasks are prioritized based on urgency and importance. I have learned to be ruthless with what can be delegated, deferred, or trashed.

I use GTD to manage the thousands of ideas I have on any given day.

GTD contexts are also a great way to categorize my tasks and use these contexts to organize my sprints.

By incorporating GTD principles, you can ensure that your work sprints are focused on the right tasks and aligned with your overall goals.

Step 2 - To Work in Sprints Get Organized

I use GTD to get organized. I organize my projects with physical and virtual file folders. I love paper and find it easier to use my notebook, bullet journal or GTD Planner to keep track of my projects and tasks. You may find it easier to use task management apps or project management software to maintain an organized and easily accessible task list.

Organizing your tasks allows you to have a clear overview of what needs to be done during your work sprints.

Avoid Multitasking: While multitasking may seem productive, it often leads to decreased efficiency and increased errors. Instead, focus on one task at a time. Complete it or reach a significant milestone before moving on to the next task. By giving your full attention to one task, you can work more efficiently and produce higher-quality results during your work sprints.

Minimize Procrastination: Procrastination can derail your work sprints and hinder productivity. Identify the underlying causes of procrastination, such as fear, overwhelm, or lack of clarity, and develop strategies to overcome them. Break tasks into smaller, manageable steps, and set deadlines.

Eliminate Time Wasters: Identify common time wasters in your daily routine and take steps to minimize or eliminate them. Limit social media, unnecessary meetings, or unproductive browsing. Set boundaries, establish rules, and leverage productivity tools or website blockers to reduce distractions and regain control of your time during work sprints.

Step 3 - Use the Pomodoro Technique to Manage Time Blocks

The Pomodoro Technique is a time management method that involves working in focused sprints with regular breaks. Set a timer for 25 minutes and work on a single task during that time. Once the timer goes off, take a 5-minute break to rest, stretch, or relax. These brief pauses help rejuvenate your mind and prevent mental fatigue. After completing four Pomodoros, take a longer break of 15-30 minutes to recharge before starting the next set. This technique helps maintain focus and prevent burnout.

Keep in mind I have already determined how long my time blocks and breaks are.

Decide on the duration of each pomodoro. Traditionally, a pomodoro is set to 25 minutes of uninterrupted work. However, you can adjust the length based on your preferences and work requirements. Experiment with different durations to find what works best for you, keeping in mind that it should be long enough to make progress but short enough to avoid burnout.

Step 4 - Create a Work Sprint Schedule

At the beginning of each week, I create my work sprint schedule. My schedule is based on a few factors such as availability, the task/project itself, and priorities.

At the beginning of the week, I check my schedule and see what I already have booked for the week. I scheduled my sprints around meetings, appointments, and other commitments.

Consider your daily routine, peak productivity hours, and any fixed commitments you have. Identify windows of uninterrupted time that you can dedicate yourself to focused work. It could be early mornings, afternoons, or evenings, depending on your personal preferences and circumstances.

Assessing Tasks: Optimizing Performance in Work Sprints

I assess each task by looking at the projects I need to complete that week. I break down my projects into smaller tasks and estimate the time needed to complete each. For each task I determine how many work sprint Pomodoros I need to allocate to each task.

Also determine the priority of each task based on their importance and urgency. Assign deadlines or due dates to tasks whenever possible. During your work sprints, focus on completing the most critical and time-sensitive tasks first to maximize your productivity.

Prioritizing Tasks: Key Strategies for Efficient Work Sprints

I prioritize my tasks based on my 12 Week Hustle Goal and my publishing schedule. I use the following techniques to choose what to work on next. You can prioritize your tasks based on the following factors:

1. Importance - Consider the importance of each task or project. Will it contribute directly to your long-term goals or the success of the project? Prioritize tasks that align with your overarching objectives and have a higher impact.

2. Urgency - Evaluate the urgency of each task. Determine whether it has a specific deadline or time-sensitive nature. Tasks with imminent due dates or those that are critical for the progress of other tasks should be given higher priority. By addressing urgent tasks promptly, you can prevent last-minute rushes and avoid compromising the quality of your work.

3. Eisenhower Matrix - The Eisenhower Matrix, popularized by Stephen Covey, is a useful tool for task prioritization. It categorizes tasks into four quadrants based on their importance and urgency:

  • Quadrant 1: Tasks that are both important and urgent. These tasks require immediate attention and should be dealt with as a priority.
  • Quadrant 2: Tasks that are important but not urgent. These tasks contribute to long-term goals and should be scheduled and planned to avoid becoming urgent.
  • Quadrant 3: Tasks that are urgent but not important. These tasks may be delegated or minimized to free up time for more critical activities.
  • Quadrant 4: Tasks that are neither important nor urgent. These tasks are typically time-wasting activities and should be minimized or eliminated.

4. Impact vs. Effort - Assess the impact and effort required for each task. Some tasks may have a high impact on your goals but require minimal effort, while others may demand significant effort but yield relatively lower outcomes. Strive to strike a balance by prioritizing tasks that offer a good return on investment in terms of impact versus effort.

5. Dependencies - Consider any task dependencies or prerequisites. Some tasks may need to be completed before others can progress. Identify tasks that are blocking the progress of other critical activities and prioritize them accordingly to maintain a smooth workflow.

6. Flexibility - Prioritization is not a static process. As new tasks or information arise, be willing to reassess and adjust your priorities accordingly. Stay flexible and adaptable to changes and be ready to reprioritize tasks as needed.

By prioritizing tasks and projects based on their importance and urgency, you ensure that your work sprints are focused on the most critical activities. Schedule Time Block

Then based in my prioritized tasks and the time available, I create a work sprint schedule for the week. Each task/context has a time block that I set keeping in mind realistic expectations. I want to ensure that I use my time block wisely that I either complete the task/project or move closer to my goals. I look at my energy levels (I am way more productive in the morning) and other commitments that day, such as client work, client meetings, networking etc.

Avoid overloading your schedule with an excessive number of tasks or expecting to accomplish more than is feasible within a given time frame. By setting achievable goals, you'll maintain a sense of accomplishment and avoid unnecessary stress or burnout.

Be mindful of your limitations and strive for an achievable workload that allows for focused, high-quality work during your sprints.

I know I am making working in sprints seem complicated with all these steps, but these are just routines that I do without even thinking about it. Once you get into the habit of working in sprints it’s easy to plan your day.

After I clarify, organize, prioritize, and schedule, I prepare for my sprints.

Preparing for sprints just mean having all my tools and resources available, eliminating mental clutter, and setting up my work environment.

Leveraging Resources: Maximizing Efficiency in Work Sprints

Consider any reference material or resources you may need during your work sprints. Gather all necessary documents, files, or reference materials ahead of time. Ensure they are organized and readily accessible to avoid wasting time searching for them during your work sprints.

I normally have Evernote, ChatGPT, and Canva open on my computer in addition to the virtual file for the project.

Eliminating Mental Clutter: Enhancing Focus and Productivity During Work Sprints

Before starting your work sprints, perform a "mind sweep" to clear your mind of any distractions or open loops. Write down any lingering thoughts, ideas, or concerns that may be occupying your mind. This practice helps you focus on the task at hand and ensures that you are fully present and engaged during your work sprints.

Optimizing Your Work Environment for Effective Work Sprints

Creating a conducive work environment is crucial for maximizing productivity and focus during your work sprints. The physical and psychological aspects of your workspace can significantly impact your efficiency, creativity, and overall well-being. Here are some key elements to consider when creating a conducive work environment:

1. Ergonomics - Pay attention to ergonomics to ensure that your workspace promotes comfort and minimizes physical strain. Use an adjustable chair and position it at the right height to support good posture.

2. Lighting - Optimize lighting conditions in your workspace. Natural light is ideal, as it improves mood and focus. Position your desk near a window if possible. If natural light is limited, use task lighting or lamps with adjustable brightness to provide adequate illumination. Experiment with different lighting setups to find what works best for your needs and preferences.

I prefer working outside.

3. Noise Control - Minimize distractions by managing noise levels in your work environment. If you work in a noisy setting, consider using noise-canceling headphones or playing soft background music to drown out distractions. Alternatively, use white noise machines or apps to create a consistent ambient sound that helps mask disruptive noises. Find a balance between silence and background noise that enhances your concentration and focus.

I prefer background noise while working. I normally have music playing as it helps me concentrate.

4. Organization and Cleanliness - Keep your workspace organized and clutter-free. A cluttered environment can hinder productivity and increase stress levels. Regularly declutter your desk by removing unnecessary items and organizing essential supplies. A clean and organized workspace promotes a clear mind and allows you to focus on the task at hand.

During work my space seems like a mess. But at the end of the workday everything gets put away.

5. Personalization - Make your workspace your own by adding personal touches that inspire and motivate you. Display meaningful items, such as family photos, inspirational quotes (check out my Etsy Shop for inspirational posters), or artwork, that create a positive and uplifting atmosphere. Surrounding yourself with things that bring you joy can enhance your mood and motivation.

6. Digital Environment - Pay attention to your digital workspace as well. Organize your computer desktop by creating folders and minimizing icons. Use productivity tools, such as project management software or task management apps, to keep track of your tasks and deadlines digitally. Set up email filters and notifications to manage incoming messages effectively and prevent distractions.

7. Comfortable Temperature - Maintain a comfortable temperature in your workspace. Extreme temperatures can negatively impact concentration and productivity. Adjust the thermostat or use fans, heaters, or air conditioning to create a suitable working environment. Dress in layers to accommodate temperature fluctuations throughout the day.

Being cold distracts me so I ensure I always have a sweater handy. If I am working from “the bed” I have my blanket ready to go.

8. Breakout Spaces - Designate separate areas for relaxation and breaks within your work environment. Having a designated space for breaks allows you to physically and mentally disengage from work. Set up a comfortable seating area or create a corner with relaxing elements like plants or calming decor. Use this space during your breaks to recharge and rejuvenate.

Step 6 - Managing Distractions and Interruptions in Work Sprints

During my work sprints, I eliminate or minimize distractions and interruptions. Turn off notifications, close unnecessary tabs, or applications, and create a dedicated workspace that fosters focus. On days that I work in sprints I communicate my availability to my partners and family members beforehand, setting boundaries to protect my dedicated work time.

During each pomodoro, eliminate distractions as much as possible. Minimizing distractions and interruptions is vital for maintaining focus and productivity during your work sprints.

Strategies for Minimizing or Eliminating External Distractions During Work Sprints

1. Establish Clear Boundaries - Communicate your availability and work schedule to colleagues, clients, family members, and friends. Set clear boundaries by letting them know your dedicated work hours and asking them to respect your focused work time. Request their understanding and support in minimizing interruptions. Clearly communicate when you should not be disturbed unless it's an urgent matter.

2. Designate a Dedicated Workspace - Set up a designated workspace that signals to others that you are in a work mode. This can be a separate room, a dedicated corner, or even just a specific desk or table. When you enter this space, it helps create a mental shift and indicates to others that you are engaged in focused work.

3. Turn Off Notifications - Disable or mute unnecessary notifications on your devices, including smartphones, computers, and tablets. Constant notifications can be distracting and disrupt your concentration. Identify essential notifications related to your work and selectively enable those while silencing or disabling non-essential ones during your work sprints.

4. Use Focus Apps or Website Blockers - Utilize productivity apps or browser extensions that can block distracting websites or limit access to social media platforms during specific time periods. These tools help you stay on track by preventing you from mindlessly browsing the internet or getting drawn into time-wasting activities.

5. Manage Email and Communication - Set specific times to check and respond to emails, messages, and other forms of communication. Avoid constantly monitoring your inbox, as it can lead to frequent disruptions and hinder your productivity. Instead, schedule dedicated time blocks for handling email and messages, allowing you to address them efficiently and minimize interruptions.

6. Communicate Interruption-Free Time - Use visual cues to indicate when you are in a focused work mode and should not be interrupted. For example, you can use a "Do Not Disturb" sign, wear noise-canceling headphones, or use a designated status on platforms to signal your unavailability for interruptions.

7. Manage Internal Distractions - Recognize and manage internal distractions, such as wandering thoughts, worries, or mental clutter. Practice mindfulness techniques like meditation, deep breathing exercises, or journaling to help quiet your mind and stay focused. If distracting thoughts arise during your work sprints, acknowledge them, and then gently refocus your attention on the task at hand.

8. Schedule buffer time -  Allocate buffer time within your work sprints to accommodate unexpected tasks or interruptions. This allows you to handle unforeseen events without completely derailing your progress.

9. Delegate or outsource when possible - If an unexpected task arises that can be delegated or outsourced, consider assigning it to someone else. Delegating tasks frees up your time and energy to focus on the most critical aspects of your work sprints.

10. Take Breaks Strategically - Incorporate scheduled breaks into your work sprints to prevent mental fatigue and maintain focus. Use this time to relax, recharge, and reset. By incorporating intentional breaks, you can avoid the temptation to take unscheduled breaks or get easily distracted during your work sprints.

Remember, minimizing distractions and interruptions requires discipline and consistency. It may take time to develop new habits and establish boundaries, but the effort is worth it for increased productivity and focus. Continually assess your work environment, routines, and strategies to optimize your ability to minimize distractions and create an atmosphere conducive to deep, uninterrupted work.

Step 7 - Take Strategic Breaks During Work Sprints for Better Productivity and Well Being

Taking breaks is something I am not good at and the main reason I started using the Pomodoro technique. I have been known to work for hours straight, skipping meals and breaks to complete my task.

While planning your work sprints, it is essential to recognize the significance of breaks and rest periods in maintaining productivity and overall well-being. Incorporating regular breaks into your schedule helps prevent burnout, enhances focus, and promotes long-term sustainable productivity.

1. Understand the Importance of Breaks - Research has shown that taking regular breaks can significantly improve cognitive performance and productivity. Breaks provide an opportunity to rest, recharge, and reset your mind, allowing you to return to work with renewed focus and energy. Recognize that breaks are not a waste of time but a valuable investment in your productivity.

2. Pomodoro Technique Breaks - If you are utilizing the Pomodoro Technique (as discussed earlier), make sure to include the prescribed breaks between Pomodoros. After completing a 25-minute work session, take a short 5-minute break. These brief pauses allow you to relax, stretch, hydrate, or engage in a quick mental refresher.

3. Longer Rest Periods - In addition to the short breaks, allocate longer rest periods after completing a set of consecutive Pomodoros. Ideally, take a 15–30-minute break to engage in more substantial activities like taking a walk, having a healthy snack, practicing mindfulness, or engaging in a hobby. These longer breaks help prevent mental fatigue and provide a chance to recharge before the next work sprint.

4. Break Activities - Use your breaks wisely by engaging in activities that promote relaxation and rejuvenation. Consider activities such as meditation, deep breathing exercises, listening to music, socializing with colleagues or friends, reading a book, or going for a short walk outdoors. Find activities that help you disconnect from work-related stress and promote mental and physical well-being.

5. Move and Stretch - Incorporate movement and stretching into your breaks. Prolonged sitting can lead to physical discomfort and reduced focus. Use your breaks to stand up, stretch your body, and engage in light physical exercises. This helps increase blood circulation, reduce muscle tension, and boost energy levels.

6. Mindful Breaks - During breaks, practice mindfulness to cultivate mental clarity and relaxation. Engage in mindfulness techniques such as deep breathing, meditation, or guided visualization. These practices can help clear your mind, reduce stress, and enhance focus when you return to work.

Some individuals may find more frequent short breaks beneficial, while others may prefer longer breaks after longer work sessions. Breaks are not a sign of laziness but an essential part of maintaining productivity and preventing burnout. As part of working in sprints and using GTD, I regularly monitor my progress and adjust as needed. I reflect on completed tasks and analyze how effective my sprints are. I try to celebrate achievements, identify areas for improvement, and make necessary adjustments to my schedule.

At the end of each workday and each week, I take time to reflect on my work sprints. Assess what worked well and what could be improved. Use this reflection as an opportunity for learning and growth. Consider any lessons learned, productivity hacks discovered, and implement them in future work sprints.
